Planned admission

If you have to undergo an operation or treatment that requires hospitalisation, this will be scheduled for you. A date and time for admission will be determined in consultation with the doctor.

What can you do in advance?

  • If your admission involves an operation requiring anaesthesia, you will have to attend the pre-operative consultation beforehand.
  • You can also inform yourself about certain choices that will have an impact on the cost of your admission.
  • On the day of your admission, you will be asked at the registration desk to sign the admission documents. You can read these documents at home in advance. If you have any questions, you can ask at the information desk or at our patient service point.

What should you bring with you?

Administrative documents 

  • your identity card (eID)
  • possibly the written order for admission, issued by a doctor
  • the name, address and telephone number of any people we may contact during your stay

Medical documents

  • the referral letter from your attending physician
  • all medical information required for your admission: RX photos, blood group card, list of medicines, the certificate from the mutual health insurance organisation for medicines linked to the certificate, etc.

Your personal medication that you already took at home before coming to hospital (preferably in the original packaging). You will also find a document here on which you can list your personal medication.

If your hospitalisation insurance pays the invoice directly

If your hospitalisation insurance pays your invoice directly to us, please also bring one of the following items with you, depending on the hospitalisation insurance to which you are affiliated:

  • medicard (DKV)
  • medilink: confirmation of acceptance from Vanbreda
  • confirmation letter from Medi-Assistance (present it during your stay, otherwise you will pay the invoice yourself)
  • insurance card

Personal necessities

  • toiletries (flannels, towels, soap, comb, shaving kit, etc.)
  • sleepwear and underwear
  • dressing gown
  • comfortable slippers (if you have difficulty walking, we recommend that you bring closed slippers - if you use a walking stick, crutches or a walking frame at home, please also bring them to the hospital)

What not to bring with you to the hospital

The hospital cannot be held responsible for loss or theft. It is best to leave valuable items at home or in your room unattended. An invoice will be sent to you after your discharge from hospital. Please do not bring large sums of money with you to the hospital. If you wish to do so anyway, please contact the head nurse. He will keep your property in a safe until your discharge.

The day of your admission

Please report to the Admissions Department 20 minutes before the agreed time. Please bear in mind that there may be traffic problems.

You can reach the Admissions Department:

  • Aalst Campus: every working day from 7 a.m. to 9 p.m. Saturday, Sunday and holidays: from 8 am to 8 pm. T. 053 72 42 14
  • Campus Asse: Monday to Friday from 7 a.m. to 8 p.m. - Saturday, Sunday and public holidays: from 8 a.m. to 8 p.m. - T. 02 300 66 40
  • Ninove Campus: every working day from 7 a.m. to 7 p.m. - Closed on Saturday, Sunday and public holidays

In the reception area of each campus you will find a kiosk where you can read your identity card. The kiosk screen will tell you the next step.

Upon admission, you will be directed to a registration desk. There you will be given a healthcare bracelet to wear on your wrist. This is part of our patient identification procedure and an important part of our safety policy. We therefore ask you to keep this bracelet on throughout your stay in the OLV Hospital.

OLV Hospital wants to inform its patients as well as possible about everything that is involved in a visit to the hospital. Naturally, you can obtain a great deal of information from your doctor or from this website. You can also get a lot of information at the registration desks. But sometimes a question requires a more detailed answer. In that case, you can go to the Patient Service Point (contact the reception desk clerk).

What do you have to report when registering?

  • Notification of incapacity for work. When you have to be hospitalised for a shorter or longer period, you have to inform your health insurance fund of your work disability. If you do not do this, you run the risk of not being reimbursed by your health insurance fund.
  • Occupational accident. If you are admitted or treated as an outpatient because of a work-related accident, please notify the Admissions Department so that they can gather all the information needed for a correct registration.
  • Informing your GP? The GP you name will be informed of your admission, unless you wish otherwise. Please inform the Admissions Department of your choice.

Returning home after admission

Your treating doctor will decide, after discussion with the head nurse, when you can leave hospital. They will inform you in good time of the date and time of your discharge. You will then have plenty of time to make all the necessary preparations. If you have any problems getting around, ask the head nurse for a taxi or ambulance.

Specific cases

Are you not affiliated to a Belgian mutual health organisation? 

In that case, please bring along

  • the E112 document (for planned admission) or a European health insurance card (for urgent admission via the Emergency Department or for urgent consultation - formerly E111)
  • a letter of guarantee from your insurance company

Do you have a food allergy?

Do you have a food allergy? From 13 December 2014, hospitals also have to provide information about the use of allergens in unpackaged foodstuffs, for example in the prepared meals we offer our patients. Allergens are ingredients that can potentially cause an allergic reaction. Belgian law provides that this information can be provided orally at the request of the consumer, who must, however, be informed of this regulation. We do so by means of this notification. In practice, you can speak to our staff about this. They will then provide you with the requested information.
